If You Have:
- Proven experience in office administration, within a personal injury law firm or legal setting.
- Strong knowledge of human resources practices and employment law.
- Proficiency in QuickBooks and financial management systems.
- Familiarity with Bank of America/Cash Pro for account management and transactions.
- Excellent communication, interpersonal, and organizational skills.
- The ability to multitask, prioritize, and manage time effectively.
- Proficiency in office software (Microsoft Office Suite, Google Workspace, etc.), legal management software (preferred), and HR systems.
- A detail-oriented mindset with a commitment to accuracy and confidentiality.
- A bachelor’s degree in business administration, Human Resources, or a related field (preferred) or equivalent experience.
- 5+ years of experience in personal injury law.
You Will Be:
- Greeting clients and visitors to ensure a welcoming and professional environment.
- Managing incoming calls, emails, and correspondence while directing inquiries to the appropriate team members.
- Organizing and maintaining office filing systems for client records, legal documents, and office materials (both physical and electronic).
- Scheduling appointments, client meetings, and court dates.
- Preparing and filing client documentation such as intake forms, medical records, and case-related paperwork.
- Assisting attorneys and paralegals with administrative tasks like drafting correspondence and legal documents.
- Ordering and maintaining office supplies and equipment as needed.
- Monitoring timecards and tracking employee Paid Time Off (PTO).
- Ensuring office policies are followed and updated as necessary.
- Ability to track and manage attorneys’ Continuing Legal Education (CLE) credits.
- Overseeing recruitment, hiring, onboarding processes, employee records management, benefits administration, compliance with labor laws, training programs, payroll administration, timekeeping, attendance records, employee relations issues, conflict resolution, CLE credit tracking for attorneys, financial record reconciliation through QuickBooks, escrow account management, transactions via Bank of America/Cash Pro—and more!
